Therapy clinic: check-in on a tablet, the right email each morning

Families check in on a tablet at the front desk. Each morning the right email goes out in English or Spanish, and the coordinator reads one list.

Rebuilt on test data
From check-in to the morning email. The families on screen are test data.

[No audio] A parent checks in on the front-desk tablet, picks new or returning patient, and submits. The screen shows Checked in. The welcome email lands in the parent's inbox with an onboarding video and a quiz. It was sent by itself. No one at the desk typed it. The tracking sheet. Every day between 8 and 9 AM each family gets the email their status calls for: flag notice, warning, pending discharge, discharge or welcome back, in English or Spanish. The no-show form. The parent explains the missed appointment and uploads a doctor's note. It goes to the clinic and lands in the tracking sheet. One daily summary email for the coordinator: who is pending discharge and who is discharged. Check-in to no-show follow-up, done by itself. Google Forms, Google Sheets, Apps Script and Gmail.

What we built

  • Tablet check-in. New or returning, families check in on one form at the front desk.
  • Morning emails. Each family gets the email their status calls for, in English or Spanish.
  • No names in subject lines. The missed-visit email reads "Notice: Missed Appointment" and carries no patient name.
  • No-show form. A parent explains the missed visit and can attach a doctor's note.
  • One list for the coordinator. A daily email shows who is pending discharge and who is discharged.
